The Construction Sales Process: From First Enquiry to Signed Contract

Most builders let the client run the sale: come and have a look, send a price, I’ll think about it. You spend evenings pricing, the client compares three numbers and the cheapest wins. A professional sales process flips that — every enquiry goes through the same stages, and the client buys your process, not just your price.

The short answer

A professional construction sales process has eight stages:

  1. Attract leads from several channels into one CRM.
  2. Respond fast — the same day, ideally within the hour.
  3. Qualify by phone before any visit: area, ownership, work type, planning, decision makers, timing, budget.
  4. Nurture the not-yet-ready with notes and regular helpful messages.
  5. Run a discovery call and site visit with all decision makers present.
  6. Sell a paid design & estimate stage instead of a free detailed quote.
  7. Present the quote live with options and a decision date.
  8. Sign a written contract with stage payments, then hand over to delivery.
The real problem

Why good builders lose jobs to cheaper ones

When the client leads the sale, your quote becomes a number on a spreadsheet next to two others. The only way to win is to be cheapest — which means more work for less margin. Builders who stay booked up lead with their own process: they qualify early, charge for detailed design and estimating, and present in person.

Phase 1–2

Attract, respond and qualify

Build more than one road to your door — referrals, architects and designers, Google Business Profile, social and YouTube, paid ads and site boards — and send every lead into one CRM. Call new enquiries within the hour where you can, with an automatic welcome message the moment they enquire. Then qualify in ten minutes before you visit.

“Not now” isn’t “never”: record clear notes, keep not-ready leads on helpful messages and set a reminder to call back in 3, 6 or 12 months.

Phase 3

Visit, paid first stage, presentation, contract

  • Pre-visit call: confirm time, make sure every decision maker attends, ask for drawings and a budget range.
  • Paid design & estimate stage: survey, design input, detailed spec and a priced schedule for a fixed fee — often credited against the build contract.
  • Live presentation: process, programme, proof and payment stages, with 2–3 options and a decision date.
  • Written contract: for example a JCT homeowner or minor works form, with scope, programme, stage payments and how variations are agreed. Consumer contracts signed away from your premises usually carry a 14-day cancellation right — check the details with a solicitor.

FAQ

Frequently asked questions

What is a construction sales process?

A fixed set of stages every enquiry goes through — attract, respond, qualify, nurture, visit, paid design and estimate, presentation and contract — so you lead the sale instead of following the client.

Should builders charge for quotes?

Many professional builders give a ballpark range for free but charge a fixed fee for detailed design and estimating, often credited against the build contract. It filters out price-shoppers.

How fast should I respond to a building enquiry?

The same day at the latest, and within the hour where you can. Speed shows you’re organised and catches the client while they’re still thinking about the project.

Should I email or present my quote?

Present it — in person or on a video call — with options and a decision date. An emailed PDF gets compared line by line with cheaper quotes.

Do you guarantee results?

No. Results depend on your business, market and how consistently you follow the process. Client stories on this page are individual results, not typical or guaranteed.
